What we collect, why, how long we keep it, and how to ask us to delete it.

We collect only what we need to answer you, run a project, and get paid. We don't sell personal information, and we don't use it for advertising.

What we collect

  • When you contact us: your name, email, company, what you need, and your message.
  • When you join the Halden briefing: your email address, so we can send the monthly letter. Every issue has a one-click unsubscribe.
  • When you book a call: the booking details from Cal.com and any answers you give to our prep questions.
  • When we work together: the emails we exchange, proposals, invoices, and project files you share.
  • When you pay: payments are handled by Stripe. Card and bank details go to Stripe directly; we never see or store them. We keep the invoice record (amount, date, status).
  • Technical data: hosting logs (such as IP address) kept by our host for security. We don't run advertising trackers. Our booking widget (Cal.com) may set its own cookies.

Why we use it

To reply to your inquiry, schedule and prepare for calls, send follow-ups you can stop at any time, deliver work, invoice, and keep the site secure. Every follow-up email includes a one-click unsubscribe.

Who processes it for us

We use a small set of providers, each only for its job:

  • Vercel: website hosting
  • Neon: our encrypted database
  • Google Workspace: email
  • Cal.com: call scheduling
  • Stripe: payments and invoicing
  • Anthropic (Claude) and OpenAI: drafting a first reply to your inquiry and summarizing public information about your business, which a person reviews before anything is sent
  • ElevenLabs: voice for our on-site voice demo, and the AI receptionist that answers questions and books calls (it records the conversation so it can reply)

How long we keep it

  • Inquiries we don't move forward with: deleted 2 years after we archive them.
  • Spam: deleted after 30 days.
  • Clients with invoices: kept as long as tax and accounting rules require.
  • Security and rate-limit logs: 30 to 365 days.

How we protect it

Encryption in transit (HTTPS only) and at rest, two-factor sign-in with alerts on every staff login, least-privilege access, signed integrations, regular security updates, and nightly encrypted backups. More on our security page.

Your choices

You can ask what we hold about you, ask us to correct or delete it, or stop our emails at any time. See Your privacy choices and our Cookie Policy. Write info@studiohalden.com and we'll respond within 30 days.

Children

Our services are for businesses and we don't knowingly collect data from children.

Changes

If this policy changes, we'll update the date at the top of this page.
